PropertyPRO Project Roll Out – Lessons Learnt Forum

We recently held the ‘PropertyPRO Lessons Learnt Forum’ where we collected constructive feedback about the successes and challenges of this significant project roll out.
We are extremely grateful to everyone who has provided their views. We have captured a number of themes that we can incorporate into future projects.
We wanted to share with you how we will improve project managing these large-scale projects in the future:
API will ensure from the outset we create an agreed ‘Terms of Reference’ document which will cover (but is not limited to) the following:
- A staged approach to changing multiple documents
- Agreed scope of key technical changes and a sound understanding of the corresponding IT changes
- Agree a timetable with deadlines and “Go Live” date
- Maintain clear minutes for each working group meeting to capture discussions and agreements which will guard against changes in personnel in various organisations
- Agree a communication plan to the industry, including a new RVI Group newsletter
- Agree and clarify roles, responsibilities and accountabilities (to avoid assumptions)
- API has a service level agreement and regular project meetings with any critical third parties
- Agree Education required and roll out dates
